JOB SUMMARY

The Extra-Mural Administrative Support will provide administrative support services for EMP Enhanced Care Coordination in Schools. This role will support all team members throughout the province.

Duties include but are not limited to:

Registration/Admission Duties

  • Processes referral requests for the EMP Enhanced Care Coordination in Schools program;
  • Process tasks to staff, enter medical diagnosis and lab tests in the appropriate technology operating system;
  • File and maintain patient charts in the appropriate technology operating system; and
  • Perform other requirements related to Electronic Health Record System such as enrollment, scanning, microfilming and archiving files.

Administrative Support Duties

  • Greets individuals and provides them with appropriate assistance and support;
  • Answers telephone, screens callers, takes and relays messages, identifies problems and forwards to appropriate staff; provides information as required;
  • Performs general office duties such as data entry, photocopying, faxing, filing, processing mail;
  • Creates and types documents such as reports, letters, forms, tables;
  • Maintains the inventory of office equipment and supplies;
  • Maintains required database information, compiles required statistics and produces reports;
  • Schedules and organizes meetings and/or events and records, types and distributes minutes;
  • Coordinates travel arrangements;
  • Enters payroll information, maintains employee timesheets and arranges for the replacement of short notice absences;
  • Perform financial duties such as accounts receivable/payable and process all employees’ expenses; and
  • Perform other tasks as delegated from manager to meet the organization’s operational needs.

REQUIRED QUALIFICATIONS AND OTHER JOB REQUIREMENTS:

  • High school graduation plus an administrative support program of over one year and up to two years, which includes medical terminology/transcription courses, or equivalent;
  • One year of previous work experience is required;
  • Proficiency, in Microsoft Office, office management systems and procedures;
  • Ability to work efficiently as a member of the team, possess strong interpersonal and communication skill;
  • Strong organizational and planning abilities with attention to detail and problem-solving skills;
  • Excellent time management skills and ability to multi-task and prioritize work;
  • Able to work all shifts as assigned, maintaining a good attendance record;
  • A high regard for confidentiality; and
  • Submit a valid and clean criminal record check.
